How to Add a Hotel Booking to Your Calendar

A hotel booking is easy to lose among emails. The details that matter are check-in and check-out dates, the address and your booking number. Putting them in your calendar means they show up next to your flights and meetings, and your phone can open the address in maps.

Yotei turns a booking confirmation on your screen into a calendar event you review first. See how it works

TL;DR

What to put in the event

Let Gmail do it when it can

If a confirmation arrives in Gmail, it may be added to Google Calendar automatically. This depends on the sender and the format of the email. Check your Google Calendar settings for events from Gmail, and see our guide to adding events automatically.

Bookings that do not arrive in email

Booking apps, PDFs, a message from a host or a screenshot of a reservation do not get picked up automatically. This is where capturing the details from the screen saves retyping.

The quick way with Yotei

  1. Bring the booking confirmation onto your screen.
  2. Press the Yotei shortcut and drag a box around the dates.
  3. Check the events Yotei found, edit anything that is wrong and untick what you do not need.
  4. Confirm, and they are added to your Google or Outlook calendar.

Mind the time zone

Check the time zone on anything that crosses borders. Our guide to calendar time zones explains the common traps.

Yotei deletes the screenshot as soon as you confirm the event, or within 48 hours if you do not. The AI service that reads the screenshot may be outside the EEA and is only used after you consent. Details are in the privacy policy.

FAQ

Should a hotel stay be an all-day event?

A multi-day event from check-in to check-out is the clearest view. Put the check-in time in the notes.

How do I add the address so maps opens?

Paste the full street address into the location field of the event.

Can I add a reminder for the cancellation deadline?

Yes. Create a second event on the deadline date and name it clearly, for example "Cancel Hotel Lux by 18:00".
