How to Add Events from a PDF to Your Calendar
A PDF cannot be added to a calendar directly. Calendars understand invitations and .ics files, not agendas laid out as tables or paragraphs. To get the events in, you either enter them by hand, look for an .ics file the sender may have provided, or capture the dates from the page and let a tool structure them.
Yotei reads dates from a screenshot of your PDF and lets you review each event before it goes into your calendar. See how it works
TL;DR
- First check whether the sender offers an .ics or "add to calendar" link. That is the cleanest route.
- If not, copy and type the events by hand, or capture the page and extract them.
- A screenshot method works for scanned or image-only PDFs where text cannot be copied.
- Always review title, date, time, time zone and location before saving.
1. Look for an .ics file or calendar link
Conference and school organisers often publish a calendar file next to the PDF. Opening an .ics file imports every event at once in Google Calendar and Outlook. Check the sender's page and the email before doing anything else.
2. Enter them by hand
For two or three events this is fine. Open your calendar, create the event, copy the title and place from the PDF and type the time. The risk is a typo in the hour or the date, so read it back once.
3. Copy text from the PDF
If the PDF has selectable text, you can copy a line and paste it into the event title. This still means one event at a time, and tables often paste with the columns scrambled.
4. Capture the page and extract the events
When a PDF is a long timetable, a scanned page or an image, the quickest route is to screenshot the area and let a tool read it. With Yotei you select the part of the screen, it finds the events in it, and you see a list to review and edit. Confirm, and the events go into your Google or Outlook calendar.
- Open the PDF and bring the schedule on screen.
- Press the Yotei shortcut and select the area.
- Check each event it found, fix anything that looks wrong, and confirm.
Yotei deletes the screenshot as soon as you confirm the event, or within 48 hours if you do not. The AI service that reads the screenshot may be outside the EEA and is only used after you consent. Details are in the privacy policy.
What to double check
- Year. Agendas often leave the year out.
- Time zone. Conference schedules use the venue's zone. See our guide to calendar time zones.
- Recurring items. "Every Tuesday" may need a repeating event, not a single one.
- All-day versus timed. Deadlines are usually all-day.
FAQ
Can I import a PDF straight into Google Calendar?
No. Google Calendar imports .ics and .csv files, not PDFs. You need to turn the PDF's contents into events first.
Does this work for scanned PDFs?
A screenshot method does, because it reads the picture of the page rather than the text layer.
Will I be able to correct mistakes?
Yes. Every event is shown for review, and you can edit the fields before it is added.
