How to Add a Flight Confirmation to Your Calendar
A flight is the event where time zones matter most: it leaves in one place and arrives in another. A flight in your calendar should show the departure time at the origin and the arrival time at the destination, both in their local zones. That way you see the real hour wherever you are.
Yotei turns a flight confirmation on your screen into a calendar event you review first. See how it works
TL;DR
- Gmail can add flights from some airline emails to Google Calendar automatically.
- For tickets in PDFs and apps, create the event yourself or capture it from the screen.
- Set the start in the departure time zone and the end in the arrival time zone.
- Put the flight number, booking reference and terminal in the event notes.
What a flight event should contain
- Title: route and flight number, the departure and arrival airports followed by the flight number.
- Start and end: departure and arrival local times.
- Location: the departure airport.
- Notes: booking reference, terminal and check-in link.
Set separate start and end time zones
Google Calendar and Outlook both let you set a different time zone for the start and the end of an event. Use it for flights. Otherwise a four-hour flight can look like a three-hour or five-hour one. Our time zone guide shows where to find the setting.
Tickets that are not in an email
Boarding passes in a PDF or a booking app screenshot are not picked up automatically. Capturing the details from the screen avoids retyping times and codes.
The quick way with Yotei
- Bring the flight confirmation onto your screen.
- Press the Yotei shortcut and drag a box around the dates.
- Check the events Yotei found, edit anything that is wrong and untick what you do not need.
- Confirm, and they are added to your Google or Outlook calendar.
Always check the arrival date. An overnight flight lands the next day.
Yotei deletes the screenshot as soon as you confirm the event, or within 48 hours if you do not. The AI service that reads the screenshot may be outside the EEA and is only used after you consent. Details are in the privacy policy.
FAQ
Does Google Calendar add flights automatically?
Gmail can add flight reservations from some airline emails to Google Calendar. Other formats, PDFs and app screenshots are not covered.
How do I show the right arrival time?
Set the end time zone of the event to the arrival city, so the calendar shows local arrival time.
Should I add check-in as a separate event?
It helps. Add a reminder for when online check-in opens.
